Hospitality for Markets

The Hospitality for Markets Committee provides refreshments and other hospitality for the artist participants and their families at the Spanish Market and the Katsina Carvers’ Market.  The Chair is appointed by the Guild with assistance from the Guild Programs Coordinator. The Chair may select others to assist as necessary.

The Chair

  • Reports progress and problems to the Guild Programs Coordinator the first Friday of each month and attends meetings scheduled by the Coordinator.
  •  Invites the Coordinator to all meetings. The Coordinator will attend when possible.
  •  Acknowledges, by thank you note or other means, appreciation for the work done by the volunteers.
  •  At the end of the year, reviews the committee job description on the Guild website for accuracy and consistency. Reports any needed modifications to the Guild Programs Coordinator.
  •  In late spring submits the Annual Report to the Guild Programs Coordinator in MS Word format.

 Tasks

  •  Recruit and assign volunteers who will assist in:
  •  Request food and money donations from Guild Membership.
  • Submit a proposed budget to the Guild Programs Coordinator.
  • Recruit and assign volunteers who will assist in:
  • food preparation and clean up
  • working at Hospitality Table
  • door checkers
  • booth relief (carvers mostly use family and friends)
  • use pushcarts or baskets to deliver snacks
  • other help as requested by Museum Staff.

Time Line

August

  • Prepare budget for both markets and submit to Guild Programs Chair.

October — 2-Day Spanish Market — November

  • Consult with Museum Staff on set up plans.
  •  Reserve Steele kitchen for food prep.
  •  Submit Artifacts article and email blast for volunteers and donations of food and/or money. All communications go to: communication@heardguild.org. Copy to Guild Programs Coordinator.
  •  Sign up volunteers at the October Guild Meeting Job Fair.
  •  Announce at October Guild meeting.

 November

  • Review contributions.
  •  Consult with Museum staff on set up plans.
  •  Consult with Security to make sure Classrooms are open at 7:30 am both Saturday and Sunday.
  •  Purchase necessary food and needed supplies.
  •  Set up, prepare, and serve food on Saturday and Sunday of Market.
  •  Clean up and return any equipment to Guild kitchen.
  •  Disperse any leftover food to artists and their families.
  •  Thank volunteers by card or other means.
  •  Submit invoices to Guild Treasurer and Museum Education Department.

March — 1-day Katsina Carvers’ Market — April

  • Review Shop and Guild contributions.
  •  Consult with Shop Staff on set up plans.
  •  Reserve Steele Kitchen for food prep.
  • Submit Artifacts article and email blast to Guild for volunteers and donations. All communications go to: communication@heardguild.org. Copy Guild Programs Coordinator.
  •  Announce volunteer, food, and money needs at March Guild meeting.

April

  • Purchase food and needed supplies.
  •  Set up, prepare, and serve food.
  •  Clean up and replace any equipment from Guild kitchen.
  •  Disperse any left over food to artists and families.
  •  Thank volunteers by card or other means.
  •  Submit invoices to Guild Treasurer and Shop.

May

  • Submit Annual Report including both Markets to Guild Programs Coordinator.
  •  Make sure the job description on the Guild website is accurate. Send any changes to the Guild Programs Coordinator.

The Heard Museum Guild Board encourages innovation and process improvement, but new initiatives and/or different approaches, activities, or actions must be discussed with the assigned Coordinator and/or Guild Executive Committee and, if necessary, approved by the Guild Board and/or Museum.
