Las Guias Support Specialist

Reports directly to and is a member of the Technology Management Committee and indirectly reports to the Guild Museum Education Coordinator and/or to the various Museum Education committees.

Summary

Provides technical support for the activities of the Museum Education Services Committees, including data entry, computer software and hardware maintenance and updating, advice regarding program capabilities and limitations, and other support as requested.

Time Requirement

2 to 3 hours per week

Essential Duties and Responsibilities

• Meets regularly with the Technology Management Committee
• Communicates regularly with the Guild Museum Education Coordinator, the Heard Museum Education Director, and, as appropriate, any of the various Museum Education Services Committees
• Evaluates current technical needs and provides solutions
• Enters data or trains others to enter data in Volgistics, the Guild’s Volunteer Management software
• Ensures a system of backup and archiving of essential data
• Updates and maintains the Email Alias structure in the Guild’s Google Account
• Updates and maintains the Guild’s online forms provided by Jotforms
• Supports the Museum Education Director as needed in developing the monthly schedule calendars and preparing weekly schedules
• Supports the Museum with data necessary to complete grant applications

• Training program with Guild Technology trainers and/or lynda.com
• The Volgistics internet application which provides extensive record keeping, scheduling, and reporting for volunteer organizations
• Google Analytics software for the creation and maintenance of email aliases and groups
• Jotforms, an internet application for creating online forms and collecting data.

Position Qualifications

• Should be an active member of Las Guias
• Basic knowledge and familiarity with the Volgistics Membership, Checklist, and Mailbox modules, Google Analytics, and the Jotforms application,
• Working knowledge of MS Word, MS Excel

Special Considerations

• Should have access to PC computer or laptop, Internet access and email
• Must possess good communication skills and great patience to provide technical assistance to Guild members.
