Information Desk Support Specialist

Reports directly to and is a member of the Technology Management Committee and works with the Guild Museum Services Coordinator and/or Museum Visitor Services. Provides technical support for the activities of Museum Visitor Services, the Guild Museum Services Coordinator, and Information Desk team including data entry, computer software and hardware maintenance and updating, advice regarding program capabilities and limitations, and other support as requested.

Time Requirement: 1 to 2 hours per week

Essential Duties and Responsibilities

  • Meets regularly with the Technology Management Committee
  • Communicates regularly with the Guild Museum Services Coordinator, the Heard Museum Visitor Services Management and, as appropriate, any of the various Museum Visitor Services Committees
  • Evaluates current technical needs and provides solutions
  • Enters data or trains others to enter data into the applicable software
  • Updates and maintains the Email Alias structure in the Guild’s Google Administrator Account

  • Training program with Guild Technology trainers and/or lynda.com
  • The Volgistics internet application which provides extensive record keeping, scheduling, and reporting for volunteer organizations
  • Google Administrator, an internet application for creating and maintaining email aliases.

Position Qualifications

  • Be an active member of the Information Desk Team
  • Basic knowledge and familiarity with the Volgistics Membership, Checklist, and Mailbox modules, and the Google Administrator Email Alias application
  • Working knowledge of MS Word and MS Excel
  • Should have access to PC computer or laptop, Internet access and email
  • Must possess good communication skills and great patience to provide technical assistance to Guild members

Meets with Museum Services Coordinator and/or Museum Services as appropriate and carries out assigned tasks

Review and update this Position Description and submit recommended changes to the Technology Management Committee
