Parliamentarian

The Parliamentarian is appointed by the President and serves on the Board in an advisory, non-voting capacity and is an ex officio member of the Executive Committee. The Parliamentarian advises the President, Board of Directors, and the Guild on points of parliamentary procedure according to Roberts Rules of Order, Newly Revised.

The Parliamentarian:

  • Accepts and carries out such duties as may be assigned by the President of the Board of Directors in addition to those stated.
  • Attends all meetings of the Board of Directors and Guild and other such meetings as required by the President.
  • Reviews the content of the public section of the Guild website to determine the accuracy and currency of the information pertaining to the work of this office and sends necessary changes to webmaster@heardguild.org.
  • At the end of the year, reviews the description of the office posted on the Guild website, makes any necessary changes, and sends to the Secretary and to webmaster@heardguild.org.
  • At the end of the year submits an annual Report.

Tasks

  • Serve as Chair of the Bylaws Committee when the President convenes that committee.
  • Record all motions and voting outcomes at Board and General Membership meetings. These will constitute the bulk of the Parliamentarian’s annual report.
  • Prepare changes made to Guild documents during the year including the Bylaws, Policy Statements, and Code of Ethics. Pass the changes on to the Webmaster for updating the Guild website. Provide copies of these documents to the Secretary for inclusion in the Guild Board of Directors Handbook.
  • Install in office the elected officers for the coming year at the end-of-Guild Year event following the procedure outlined in the Heard Museum Guild Installation Format.

  • Install new officers at the end-of-Guild Year event.

 

The Heard Museum Guild Board encourages innovation and process improvement, but new initiatives and/or different approaches, activities, or actions must be discussed with the assigned Coordinator and/or Guild Executive Committee and, if necessary, approved by the Guild Board and/or Museum.
