Database Technical Specialist

Reports directly to and is a member of the Technology Management Committee and indirectly reports to the Guild committee chairpersons referenced below.


Provides technical support for the activities of the Artist Exhibitors, Staging, Juried Competition, and Student Art Show & Sale Committees, including data entry, database backup, computer software and hardware maintenance and updating, advice regarding program capabilities and limitations, and other support as requested.

Time requirement:

Several hours each week and considerably more preceding and during the Fair and Student Art Show.

Essential Duties and Responsibilities

• Meets regularly with the Technology Management Committee
• Meets regularly with the Chairs of the Artists Exhibitors, Staging, Juried Competition, and Student Art Committees
• Evaluates current technical needs and provides solutions
• Enters data or trains others to enter data into the applicable software
• Prints or trains others to print reports from the applicable software
• Ensures a system of backup and archival of essential data


• Training program with Guild Technology trainers and/or
• The Heard Museum Guild Website Operations Handbook
• Microsoft Access, a relational database software program
• The Artists Database User Manual
• The Student Art Show Database User Manual
• LogMeIn, an internet application which allows remote access to the Guild Room computers
• Jotfroms, an internet application for creating online forms and collecting data

Position Qualifications

• Basic knowledge and familiarity with MS Access software, Jotforms, and the LogMeIn application
• Thorough familiarity with the Artists Database User Manual and the Student Art Show Database User Manual
• Working knowledge of MS Word, MS Excel

Special Considerations

• Must have access to PC computer or laptop, Internet access and email
• Must possess good communication skills and great patience to provide technical assistance to Guild members

Time Line

Provides budget information to the Chair of the Technology Management Committee

September – April
Meets with committees as appropriate Carries out assigned tasks.
