Indian Fair & Market Juried Competition Award Sponsors Committee

Purpose

The Award Sponsors Committee is responsible for soliciting donors to underwrite the cost of the Guild’s annual Indian Fair & Market Juried Competition artists’ cash awards.

Indian Fair & Market Juried Competition Award Sponsors Chair

The Award Sponsors Chair is selected by the Indian Fair & Market Chair and coordinates ribbon and award needs with the Juried Competition Chair. The Chair:

  • Reports progress and problems to the Fair Chair and Juried Competition Chair. Prepares a current report and attends all Fair meetings scheduled by the Fair Chair.
  • Invites the Fair Chair to all committee meetings. The Fair Chair will attend whenever possible.
  • Acknowledges by thank you note, or other means, appreciation for the work done by volunteers working on this committee.
  • Sets up meetings and makes all arrangements necessary with the Museum Events Coordinator.
  • Reviews the content of the public section of the Guild website to determine the accuracy and currency of the information pertaining to the work of the committee. Sends necessary changes to webmaster@heardguild.org.
  • At the end of the year, reviews the committee job description posted on the Guild website and in the Committee Notebook. They should both be the same. Makes any necessary changes and sends to the President Elect and to webmaster@heardguild.org.
  • Attends the Indian Fair and Market Wrap-up Meeting and submits four copies of the annual Committee Report (unbound) using the Sample Committee Report as a guide. These reports will be distributed to the incoming Committee Chair and the Fair Chair. Also e-mail the report in MSWord to the webmaster.

Tasks

  • Consult with the Juried Competition Chair to determine what awards will be given. These awards could differ from year to year.
  • Mail requests for award sponsors and/or personally solicit potential sponsors.
  • Receive and record donations.
  • Maintain a list of sponsors based on the level of contribution or by Sponsored Award, as determined by the Fair Chair, Steering Committee, and Guild Board.
  • Forward all monies to the Guild Treasurer with list of sponsors on a weekly basis.
  • Prepare a complete list of sponsors and forward to the Museum’s Director of Marketing to be included in the Fair Program and other brochures.
  • Prepare and mail thank you letters, including tax contribution information, to the sponsors.

Time Line

October through February

  • Attend general Fair meetings.
  • Solicit sponsors.
  • Receive and record sponsors’ funds and forward to Guild Treasurer.
  • Order ribbons.
  • Submit sponsor list to Museum Marketing Director when requested.
  • Send thank you letters.

April

  • Review website description of committee work and send changes to webmaster@heardguild.org. Make sure job descriptions are the same in the notebook and website. Send changes to the President Elect and to webmaster@heardguild.org.
  • Attend the Indian Fair & Market Wrap Up Meeting and submit three copies of the annual Committee Report (unbound) using the Sample Committee Report as a guide. The hard copy reports will be distributed to the incoming Committee Chair, the Fair Chair, and the Library Archives. Also, a copy of the report in MS Word format will be sent to the Webmaster for Guild records.
